About the In-Person Retreat & Online Gather Events Coordinator position

As followers of Jesus, we recognize the importance of connection and transformative experiences. We create both in-person and virtual spaces where women serving overseas can find refreshment and community. Both our in-person retreats & virtual events provide opportunities for spiritual, emotional, and physical renewal through worship, Scripture study, prayer, self-care, confidential counseling and much more.

We’re seeking a dynamic Events Coordinator to join our team and help bring this vision to life.

As the In-Person Retreat and Online Gather Events Coordinator, you will be responsible for planning, organizing, and executing both in-person retreats and our virtual events. Your role includes facilitating these experiences by recruiting, training, and leading volunteer teams. You will collaborate closely with our staff and volunteers to create safe spaces that foster vital care, connection, and life-giving resources for all participants.

KEY RESPONSIBILITIES:

+ In-Person Retreats Coordination +
Retreat Facility Negotiations
• Source locations around the world to work within the retreat budget
• Negotiate site contract and serve as the point person with hotel
• Manage retreat budget forecast and reconciliation

Retreat Communications
• Prepare Retreat to open and process attendee registrations
• Recruit attendees
• Champion volunteer team recruitment, development, management, and travel arrangements

Retreat Preparation
• Prepare retreat booklet, nametags, materials, etc.
• Coordinate retreat supplies, gift donations, and shipping
• Finalize rooming, meals, and meeting spaces with the hotel

Onsite Retreat Service
• Support the Director’s needs and manage daily activities and site logistics
• Equip volunteers for their roles and ensure smooth onsite operations
• Handle any issues or complications that arise

Post Retreat Wrap Up
• Reconcile final bill and finalize all accounting

+ Virtual Events Coordination +
• Champion volunteer team recruitment, development, and management with monthly online trainings
• Finalize event content and schedule, coordinating speakers and topics
• Set up event platform and create online (Zoom) meeting links within the Thrive hub
• Prepare event invitation and recruit attendees
• Create event collateral including Gather Guide booklet, video updates, swag items, and more
• Plan Thrive-hosted sessions including Opening and Closing Sessions
• Serve as event point of contact/customer service representative
• Manage live online event : Lead opening and closing sessions, host Zoom sessions, and ensure event is running smoothly
• Post Virtual Event Wrap Up


In-Person Retreat & Online Gather Events Coordinator qualifications:

  • Must embrace the mission of Thrive and agree with our Statement of Faith.
  • Ideally, 2+ years of experience in event planning, preferably with retreats or virtual events.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Proficient and practical experience with industry-leading software and technologies, such as Salesforce, Slack, Box, Trello, Airtable, MS Office 365, Apple products (we are an all Apple environment).
  • Creative problem-solver with a passion for creating memorable experiences.
  • Ability to work independently and as part of a team.
  • Strong abilities to comply with requirements of time٫ costs and deadlines.
  • Ability to travel internationally for 2 weeks at a time, 1 to 2 times a year.
  • Thrives (pun intended ;-) in a closely knitted, small team environment.

Position Details:

  • part-time, ~25hrs/wk; $25/hr.
